Paying Human Subjects

NOTE: TO RECEIVE FUNDS FOR HUMAN SUBJECTS, YOU MUST HAVE AN APPROVED IRB APPLICATION SPECIFYING YOUR INTENT TO OFFER SUBJECT INCENTIVES.

Human subject incentive payments (also called subject fees, research incentives, or human subjects payments) MUST be authorized through the Human Subject Incentive Program (HSIP) Office. See the sections below for more information.

Payment Options

The Human Subjects Incentives Program offers four options for paying research subjects:

  • cash
  • checks
  • coupons
  • Visa cards (minimum $10)

Principal Investigators (PI's) may also request a check or ATM card in their own name to purchase incentives or convert into cash for payment to subjects. Visa cards are the preferred method for paying human subjects, and they feature a re-load option to add additional funds for subjects who are to receive more than one payment.

Delivery Methods for Incentive Payments

Checks, coupons, and Visa cards can be picked up by the PI at the Dearborn research office to be handed to subjects, or they can be mailed directly to the subjects.

Cash must be picked up at the Dearborn Cashier's office.

Accounting & Documentation of Payments

The documentation requirements for each study are based on the type of study, subject payment amount, and payment type requested.

If you are required to submit receipts, an evidence document form will be sent to the PI with each HSIP request.  (Fillable evidence documents are also available on the HSIP Forms page if you would like to type the information into your form before printing.) All receipt documents should be submitted together within 30 days of the request, and should be destroyed after receiving confirmation that they have been received by ORSP.  For audit purposes, all subject incentive receipts will be centrally maintained by the University in a secured manner to protect private information.

Any unused funds must be returned within 30 days.

Requesting Subject Payments

Incentives should be distributed to subjects within 30 days of your request; please do not request more incentives than can be distributed within that time period.  If you need to pay subjects after this 30-day window, a new request should be processed.

IMPORTANT NOTICE:  All individuals handling/distributing subject incentives are expected to have completed the cash handling training course (MyLinc TME103) offered by the Treasury Department.  (This course only needs to be taken once.)

Completion of the Human Subjects Payment Request form is your attestation that you have completed the required training noted above.

Once your request is complete we will contact you with a pick-up date. Cash must be picked up by the PI at the cashier's office; a designate may pick up checks or Visa cards from the ORSP office.

Activating the Visa Cards

Upon delivery the Visa cards have no value. The PI must request activation for the cards to be usable. Funds are remotely loaded onto the cards by the Treasurer’s Office.  At the time of pickup, you can:

1)      ask ORSP to send a request for immediate card activation, or
2)      wait and send your request to load the cards as you are ready to use them

All cards may be activated at once, or just a few at a time as needed.  Funds will be loaded onto the cards within 48 hours of the activation request. 

Visa cards expire 2 years from the date they are issued.
