Faculty Opt-In Add Policy

A modification of the add policy was approved effective Fall 2012. As indicated in an email from the Provost, the Add Policy is an Opt-In process.

General Information

Faculty who do not Opt-In, standard processing will remain in place for your courses. That is:

  • Students may continue to enroll in your course(s), in person or on the web, if the course is open and requirements and restrictions are met, through the end of registration.
  • The Office of the Registrar will continue to enroll students from the waitlist into your course(s) if space becomes available (except in COB**) through the end of registration.
  • The Office of the Registrar will continue to enroll students who have 'written permission' from the instructor into courses (regardless of the actual enrollment in the course) through the end of registration.

How to Opt-In

Complete the Course Opt-In Form

Faculty must enter the CRN on the Course Opt-In Form. The CRN can be found by accessing the Class List (listed under the Grading and Course Resources menu on the Faculty and Staff page).

Important Information for Opt-In Only

If you are opting in to this process, it is imperative that you read all of the information below and follow these guidelines:

Guidelines:

Check the actual enrollment in your class and know the maximum limit prior to adding any students during the second week of class. Although the need for faculty to validate enrollment numbers prior to permitting entry was in the document approved by Faculty Senate and the Provost, it is important to restate it here to help avoid unintended over enrollment.

  • For instructors who have completed an Opt-In form, the course submitted for opt-in will be closed after the first week of class. The course will be populated with the Instructor Approved Add registration restriction code.
  • Instructors should be aware of the exact number of students enrolled in their class(es) before making decisions on an add request during this period. 
  • You may locate your enrollment numbers online without logging into the secure area. These numbers are in ‘real-time.'

For enrollment numbers:

  • Go to Faculty and Staff resources page
  • Click on Class Schedule from the Grading and Course Resource menu 
  • Choose a term from the drop-down list, click Continue
  • Use the Class Schedule Search to pull up your class
  • Click on the course Title link
  • Click on the Enrollment/Waitlist link

The Enrollment/Waitlist page will display actual, maximum, and seats available information for course enrollment and waitlist.

For cross-list numbers:

  • Go to Faculty and Staff resources page
  • Click on Class Schedule from the Grading and Course Resource menu 
  • Choose a term from the drop-down list, click Submit
  • Use the Class Schedule Search to pull up your class
  • Click on the course Title link
  • Click on the Cross Listed Courses link

The Cross Listed Courses page will display actual, maximum, and seats available information for entire cross-listing, as well as all classes that are a part of the cross-listing.

Instructors may grant permission to enroll in courses with the Instructor Approved Add restriction by submitting an email to the student (for forwarding to the Registrar’s Office) or directly to the Registrar’s Office ([email protected]). Written permission will also be accepted via an Add/Drop Form. Your permission will bypass the maximum limit on the course.

General Information:

  • Permission of the instructor will be required to enter a course that is coded with the Instructor Approved Add registration restriction beginning the first day of opt-in.
  • The Office of the Registrar will not monitor enrollment limits for courses with the Opt-In Add code (It is not possible to do so without a tremendous amount of conflict.).
  • Students may drop a class during this same time period. Please view your class roster to determine drop or add activity.
  • Students who gain approval from an instructor to add a class must complete the action of adding or registering prior to the end of the add/drop period. Those students not completing the process during that time will be required to go through the petition process in his/her respective academic unit to late add.
  • Written permission from an instructor to add a course via an Add/Drop Form will be honored at the Registrar's Office. Written permission will override the Instructor Approved Add code and bypass the maximum limit on the course.
  • Overrides will not be accepted verbally.

Waitlist

The opportunity for students to waitlist courses will remain open through the first eight days of classes for a full term, and the first three days of classes during a half term.

During the add/drop period:

The responsibility for managing enrollment in a course section lies with Office of the Registrar for all courses except the following:

  • College of Business courses**
  • Select lecture/lab Natural Sciences courses
  • During the second week of a full-term, courses that have the Registration Restriction Code: Instructor Approved Add. Waitlists for courses with this registration restriction are monitored by the instructor beginning the second week of classes in a full term. Permission of the instructor is required for entry.
