Faculty Test Proctoring Policies
Below is a summary of Disability & Accessibility Services (DAS) test proctoring policies. Once a faculty member has received an accommodation letter, they are legally obligated to provide the accommodations listed from that day forward. Accommodations are not retroactive. DAS is available to assist faculty with any questions about applying accommodations for their specific course.
In-Person Tests and Quizzes
If you are able to provide testing accommodations (e.g. additional time on tests and quizzes, distraction reduced testing, etc.), then there is no need to involve DAS in implementing this accommodation. Professors are often able to accommodate students by having them take the test in their office or with a teaching assistant, for example.
If you are unable to facilitate your student’s testing accommodations, DAS is able to proctor their test at our office’s testing center. DAS test proctoring hours are 8:30am to 4:30pm, Monday-Friday, excluding university recognized study days and holidays. DAS only proctors exams for students registered with DAS.
DAS REQUIRES that tests be provided to our office at least 1 business day before the exam. We proctor many exams, especially during finals week, so it is necessary for our office to have exam materials prepared in advance of students arriving. We store printed exams in a locked filing cabinet, so they are secure. If we do not have a copy of the exam by 4pm the business day prior to the exam, we will be unable to proctor the exam. An email will be sent out to the faculty and student notifying them of the cancellation of the Test Proctoring appointment and refer the student back to the faculty for questions on how their exam will be proctored.
Please approve the test request as soon as possible so DAS can arrange space and staffing needed. If an exam is not approved by 4pm the business day prior to the exam, we will be unable to proctor the exam. One exception to this policy is if the student requires a scribe or reader. If a student requires a reader or scribe, DAS requires at least 2 business days prior to the exam so we have enough time to secure the needed reader/scribe. If we do not have approval 2 business days prior we will cancel the exam.
DAS Test Proctoring Policy
DAS values integrity. Staff monitor all exams live via a video monitoring system and take all precautions to ensure exam integrity. All students who complete exams at DAS are aware of DAS test proctoring policies. Some DAS staff are students, if you have a DAS student worker in one of your courses, you will receive an email from DAS at the beginning of the semester notifying you of this. The email will contain additional options you can choose if you need to utilize DAS for test proctoring to ensure that the DAS student worker does not have access to the course exam.
DAS Test Proctoring Scheduling
After talking with you, students will submit a test request form for every test or quiz. You will receive an Action Required email from DAS with a unique faculty test proctoring verification form link. Open all Action Required emails from [email protected] and submit your decision as soon as possible. For final exams we will reach out early for your decision in order to reserve a seat for your student.
Within this link you will provide the following:
- Once you open the linked faculty verification form you will be asked to agree to the acknowledgement section regarding our policy deadlines for approving and providing exam files to our office.
- Your decision. There are three options:
- Approve: Everything the student requested matches with your expectations.
- Approve with Conditions: Something needs to change in order for it to be approved (e.g. the student entered the wrong day or start time).
- Deny: Provide a reason to DAS and the student why you are denying the request (e.g. You will provide the accommodations for the student yourself or this exam was canceled).
- Opportunity to write information that is shared just with DAS Staff in the Faculty Internal Comments to DAS Staff box.
- Opportunity to type information that will be shared with your student in the Faculty Comments to Student box.
- The approved date of exam with DAS.
- This is the date discussed with your student and could vary from your scheduled class exam date (e.g. It is an evening class that falls outside of DAS’ test proctoring hours).
- The approved start time with DAS.
- Test proctoring hours are 8:30am-4:30pm so the start time with DAS could vary from your class time (e.g. the class is an evening class).
- The amount of time the class gets for the test.
- DAS staff uses this number to calculate the extended time a student may receive if they have additional time on tests accommodations.
- If the student is allowed to start if they are more than 15 minutes late for the exam. This does not extend the student’s end time.
- If the student is allowed to start earlier than the scheduled start time with our office.
- Provide what is the best way to contact you during your student’s exam at DAS?
- You can choose to provide an email address and/or phone number. DAS DOES NOT have texting capabilities.
- If the exam is online. Yes/No
- If yes, let DAS know the location of the exam (i.e. Canvas) and if there is a passcode needed.
- Indicate if the student can use their personal computer or needs to use a DAS office computer to take the exam.
- Asking if you allow students without “Bathroom breaks allowed during exams” accommodation to take bathroom breaks during your exams? Yes/No
- Let us know if you allow students to use the restroom in class.
- If no, and a student has the bathroom breaks allowed during exams accommodation, this supersedes your class policy and we will allow the student to use the restroom.
- Please note, DAS staff collect and count all the student’s exam pages and escort the student to the single stall restroom by our office. We then walk the student back to our office where they will continue their exam.
- Asking if you allow students to use notes during your exam? Yes/No
- If yes, in the box provide clarification on types of notes allowed to be used.
- Example: open notes, 1 page 1 sided, 1 page double sided, 3x5 card, etc.
- If yes, in the box provide clarification on types of notes allowed to be used.
- Click any of the items listed that a student is allowed to use during their exam.
- In Special Instructions, type out any other proctoring information DAS should know.
- Example: This is a 2-part exam. Part one is closed book. Once turned in, give part two and allow the student to use their book and notes.
- Example: Students allowed 2 page back and front note sheets need to be turned in at the end.
- How you want the exam returned from the following options:
- Completed test will be picked up at 2170 RUC.
- Completed test will be scanned and emailed back. The original will be mailed back to your campus address.
- Provide your campus office address or department address for DAS to interoffice mail, not your email address.
- Completed test will be scanned and emailed back. SHRED the original.
- Not applicable - All answers are submitted online.
- Not required, but faculty can Upload test file within the form if ready. There is an option to add another document to send multiple files.
- If you do not upload the exam when you fill out the faculty verification form, you have two other options to get the exam to our office. As a reminder, we REQUIRE that tests be provided to our office at least 1 business day before the exam. 1. Drop the exam materials off at the DAS office, 2170 RUC. If you choose this option please let our office know via email or within the verification form.
2. Email the exam materials to [email protected].
- Click submit.
- You will be emailed a form response that contains what was submitted to DAS.
Sending DAS Exam Updates
Update testing staff on any potential changes to your exam instructions by communicating any exam corrections, deleted questions or updated items students may be allowed to use on the exam to [email protected] in a timely manner so staff can alert your students.
Online Tests and Quizzes
For online tests/quizzes, it is the faculty’s responsibility to build in the additional time within the online testing platform.
